Purpose:

The main purpose of the New Member Recruitment Committee is to actively pursue individuals in order to grow The South Council.

Goals:

The 2009 goals for the New Member Recruitment Committee are to recruit at least 100 new members for the year, to develop a Recruitment Committee Task Force that would meet on a regular basis (no less than once a month; whether in person or via conference call.) and to develop a team that would act as ambassadors of South Council at Grand Openings.

New Member Recruitment Committee Responsibilities

1 Week Prior to scheduled luncheon:

  • Email prior luncheon's guests (emails found on guest sign-in sheet), to thank them for coming to the prior meeting and to remind them of the upcoming luncheon.
  • Make sure the Recruitment Committees materials are ample for the upcoming luncheon (i.e. guest sign-in sheets, South Council applications, pens, paperclips, tape, "Use Other Door" sign, etc.)

Day Of scheduled luncheon:

  • Arrive at luncheon location prior to 11 a.m.
  • Tape “Use Other Door” sign on front door and have that door locked.
  • Place Guest Sign-In sheets and pens at designated area.
  • Have Membership Application Forms in a pile and ready for quick retrieval.
  • Provide alphabetized list of the current year's new members to the check in person.
  • As people arrive, secure South Council Board members, as well as, standard South Council members, that will be needed to “meet and greet”. These members, along with the Recruitment Chairperson, will direct guests and members into their appropriate line, they will ask guests to sign in, and they will ask guests if they would like to join the South Council.
  • Make sure application forms are filled out completely by joining members and that all monies have been accounted for (membership dues plus the lunch price).
  • Make sure the individuals that have joined have also signed in on the guest list, if name isn't present, it will have to be done by Chairperson. Once guest list is complete, give to Tresa Calfe for her to make copies for herself. After Tresa returns lists (by the end of the luncheon), file them in the Recruitment folder.
  • Present Tresa Calfe (or attending Chamber rep) with the New Member Applications, as well as, all corresponding monies ($35.00 for each application).
  • Enjoy the program.
  • After final speaker (or when President directs), recognize the new members and offer the "opportunity to join South Council" prior to leaving the luncheon.
  • Remove "Use Other Door" sign.
  • Make sure all Recruitment "stuff" has been secured.

1 Week After scheduled luncheon:

  • Prepare list of email addresses of the prior luncheon's guests that did not join.
  • Enter the names of the new members into the current year's alphabetized list (for check in purposes only; keeps pay line running smoothly if a new member's name has not made in onto the Chamber's Master List)

Ideas for Growing South in 2009

  • Survey held at luncheon-action-voted on and passed. To be held during one of the March luncheons.
  • Free luncheon for members-action-voted on and passed. To be held 2nd luncheon of June.
  • Develop a "Grow South Campaign"-action-voted on and passed. Members who bring guests to luncheons will be recognized during the luncheon and will be given a "reward" of a South Council goody bag filled with printed South Council items. These items will be purchased using some of the Marketing Committee's budget. To be started in April or May of 2009.
  • Reward members who bring guests that join South Council-voted on and passed. Members who bring guests that join South Council will receive a free lunch ticket. To be started April or May of 2009.
