Purpose of the Member Relations Committee:
To retain current members and focus on the growth of new members through mentoring
Member Relations Committee Responsibilities (for renewing members):
- Contact all members that are up for renewal. Primary focus should be on members whose renewal is between 30 and 60 days past due. Phone calls are warranted for each member.
- For members that are between 0 and 30 and 60+ emails or written letters are appropriate.
- Research feedback from members that are leaving the Council and present any challenge that can be turned into an opportunity at the board meeting.
- Offer Mentoring opportunities for members that express concern about the productiveness of the group.
Member Relations Committee Responsibilities (for new members):
- Gather a list of potential mentors for new members. Mentors should have the following characteristics:
- current active member with membership lasting more than 1 year
- member willing serve the committee at each luncheon assisting in the introduction and hosting the new members experience.
- member capable of communicating the personal benefit that they have found from being an active member.
- Pair a mentor with a new member and have them actively help introduce the new member to possible networking connections
- Report to the committee head on the monthly conference call the results.
Main Responsibility for the Committee Chair:
- Monthly conference call the first Monday of every month. Each member of the retention committee should be present but only a 2/3 participation is needed for the call to be effective and official. Notes should be taken and presented to the board at each meeting and entered into notes online.
- Consistent recruitment of new mentors and folks that help reach out to the members who are due for renewal. Time should be allocated during the announcement section of the meeting to look for mentors. Effectively assigning out a list for each committee member to contact. This is most effective if the members are contacted 1 week before the next meeting.
- Effectively assigning a mentor to a new member for each luncheon. It is crucial to get the new members to participate within the first month of their membership for overall long term success.
